Most businesses run on a spreadsheet longer than anyone admits, and for a business with one owner and one process that is correct. The spreadsheet becomes the problem at a knowable moment: when two people edit it, when a formula nobody understands breaks, when the count in it stops matching the shelf. Airtable pushes that moment out by a year or two. Neither pushes it out forever.

Where it is the wrong tool

Anything two people edit at once, anything with a count that has to be true, anything regulated, or anything a customer sees. A sheet cannot be the inventory system for a dealer or the billing record for a business with progress payments. Airtable holds up longer but hits record limits and per-seat pricing as a team grows.

Who should pick it

One owner, one process, data that fits in a few tables. A content calendar, a client roster, a job list for a two-crew business, a first reporting view over exports. The stage before a tool is worth building, and sometimes the stage that never needs to end.
