The routine of a firm in one system, with the judgment left to the lawyer

A firm bills for judgment and spends its days on routine: intake forms, status calls, engagement letters, referral spreadsheets. The practice management software holds the matters and does little else well. The gap between the two is where a small custom tool earns its keep, as long as it respects what a firm cannot expose.

Custom internal tools for Southwest Florida law firms: an intake portal, a matter dashboard, a referral ledger and document assembly, scoped in writing, built to sit beside your practice management software rather than replace it, and reviewed against the confidentiality rules before it goes live.

I read every one and reply within the day. When an off-the-shelf product covers it, I tell you which one and stop there.

The tools legal services actually runs on

An intake portal

A potential client answers the intake questions once, on a page that looks like the firm, and the attorney sees the matter shape before the consult. The conflict check is prepared automatically and confirmed by a person. Built as intake and scheduling with a consult calendar attached.

A matter dashboard

Every open matter with its stage, deadlines and next action on one screen, drawn from the practice software and the calendar rather than retyped. The reporting dashboard pattern, with access by role so a paralegal sees what a paralegal should.

A referral ledger

Every matter carries its source and every referral fee its status, so the quarter-end report shows which attorneys, providers and directories sent work and what it was worth. I built and operate a platform connecting attorneys with medical providers under HIPAA; the ledger here is that system's core.

Document assembly

Engagement letters, standard motions and closing documents generated from the matter record in your templates, reviewed and signed by the attorney, filed to the matter. A customer portal can hand the client their signed copies without a phone call.

Questions from legal services

Is a custom tool appropriate for a law firm?
A custom tool is appropriate for a law firm when it handles routine, non-judgment work beside the practice management software, keeps the attorney in the loop where judgment lives, and is reviewed against the Florida Bar rules before it goes live.
How is client confidentiality handled?
Client confidentiality in a custom firm tool is handled by keeping matter data in your own database with access by role, sending no case facts in automated messages, and showing you exactly what leaves your systems and what does not.
Have you built for law firms before?
Building under legal and medical privacy rules is something I have done: the attorney and medical provider platform I operate runs under HIPAA, and its intake, referral and confidentiality design is the basis of this page.
